Partial Planning & Design

PRE EVENT PRODUCTION:
  • Recommend  vendors in accordance with event budget and style

  • Attend site visit(s) with or without client to establish the event style, direction and flow

  • Design layout of ceremony, cocktail and reception space and after party

  • Create an overall mood board with color palette, florals, rentals and more

  • Meeting with in house floral designer to discuss design; floral moodboard

  • Complimentary mock up floral arrangement

  • Ordering and managing all rentals and lighting needs

  • Unlimited communication for the entire duration of wedding planning

  • Three to five in person or zoom planning meetings to go over planning calendar and next steps so that you can stay on task

  • Provide guidance of printed materials including: save the date, invitation, menu

  • Provide guidance with wedding day budget

  • Attend tasting and act as liaison for client and resort; advise on menu planning

  • Guidance on personal items such, table numbers/names, seating chart, & signage.

THREE MONTHS PRIOR:
  • Attend final meeting with client and collect all celebration elements

  • Review all vendor contracts and make adjustments as needed

  • Act as the liaison between client and vendor; confirm all details and arrival times for vendors

  • Create complete master timeline for wedding day for vendors

  • Provide personalized timeline for couple and family

  • Provide schedule for family and VIP guests

WEDDING DAY:
  • Coordinate rehearsal with Officiant 

  • Direct and coordinate all aspects of wedding celebration (estimated 12-16 hours)

  • Oversee check-in of rentals

  • Create steps of service for catering team

  • Coordinate all deliveries and installations of celebration in accordance with vendorcontracts

  • Organize and set up programs, escort cards, place cards and menu cards

  • Oversee timely flip of room from ceremony to reception (if needed)

  • Conduct final lighting, sound and temperature inspection prior to guest arrival

  • Conduct final seating and table check prior to guests welcomed to reception

  • Cue all music changes and speeches with band/DJ

  • Cue guest of honor and family for special moments including: cake cutting, toasts anddancing

  • Serve as point person for all vendors—cueing timing throughout event

  • Manage and remedy all moment-to-moment challenges

  • Oversee strike of venue

  • Collect any wedding elements and gifts

  • Double check return/pick up of all rental elements

  • Include 1-4 assistant coordinators depending on final guest count
